Optician client recall: getting prescription renewals right

A client who is happy with their glasses may not think about their eyesight for years. Yet vision changes, and every prescription eventually expires. As an optician, you are well placed to remind them, at the right moment and with tact, that it is time for a check. Here is how to organise useful, respectful and effective client recalls around glasses prescription renewal.

Why regular eye checks matter

Eyesight is not fixed. It can change gradually with age, lifestyle or screen work, often without the person noticing. Headaches, eye strain or a habit of squinting are sometimes the only signs.

That is why eye-care professionals recommend regular checks, at a pace they adapt to each person. Your role is not to diagnose, but to encourage your clients to follow those recommendations and to book a check when the time comes.

Recalling a client is a service

Many opticians hesitate to send recalls for fear of seeming pushy. Yet a well-made recall is seen as care, not advertising. The client does not have their prescription's expiry date in mind: you do.

  • You help them look after their eyesight without having to think about it.
  • You spare them from finding their prescription expired just when they need new glasses.
  • You show that you follow their file personally.
  • You keep a bond of trust between two visits.

The difference between a service and spam comes down to three things: the right timing, a personalised message and respect for the client's answer.

When to recall: before the prescription expires

The best moment is a few weeks before the prescription expires. The client then has time to book an appointment with their eye-care professional and come back to you with an up-to-date prescription.

  • A few weeks before the expiry date: a first gentle reminder.
  • Just after expiry, if the client has not responded: one short final reminder.
  • At a natural moment, such as back-to-school or a change of job, if it makes sense for them.

💡 Avoid recalling a client who has just bought glasses: wait until their prescription is genuinely close to expiring.

Which channel to choose

For this kind of recall, a short, personal WhatsApp message works very well: it is read quickly, the client can reply whenever they like, and the tone stays friendly. Write it the way you would speak at the counter, not like an advertising campaign.

A phone call remains an excellent option for loyal clients, older people or those who prefer talking to writing. Note the client's preferred channel in their record: it is valuable information for every future recall.

Writing a good recall message

A good message is short, polite and focused on the client. It mentions their first name, your shop's name, the reason for contacting them and a simple, no-pressure suggestion. Here are three examples to adapt.

  • Hello Sarah, this is the team at Lumière Optics. Your glasses prescription will expire soon. If you wish, this may be a good time for an eye check. We are here if you need us. Have a lovely day!
  • Hi Karim, it's Nadia from Centre Optics. A friendly reminder: your prescription expires next month. Once you have a new one, drop by and we will check together whether your lenses still suit you.
  • Hello Mrs Martin, greetings from the Lumière Optics team. Your prescription expired recently. Remember to have your eyes checked; we will be glad to welcome you afterwards. Just let us know if you would rather not receive these reminders.

Avoid capital letters, aggressive promotions and alarming wording. The message should make the client want to come back, not cause worry.

Frequency and respect for the client

An effective recall is rare and well timed. Sending too many messages tires the client and damages the relationship you have built. A few simple rules are enough.

  • One or two messages per expiry date, no more.
  • No recall if the client has already come back or booked an appointment.
  • An immediate, permanent stop if the client asks not to be contacted.
  • A note in the client record of each recall and the answer received.

Organising recalls every week

Recalls work when they become a routine, not a one-off task done when the shop is quiet. Block a fixed slot every week, for example on Monday morning.

  1. List the clients whose prescription expires in the coming weeks or has just expired.
  2. Check their history: recent purchase, appointment already booked, request not to be recalled.
  3. Send a personalised message or make a call.
  4. Record the recall and the answer in the client record.
  5. Offer an appointment to those who get back to you.

All of this relies on up-to-date prescriptions: prescription date, expiry date and client contact details entered correctly. A prescription without an expiry date is a recall that will never happen.
